TERMS & CONDITIONS

QUOTATIONS:
All quotations are subject to availability & are valid for a maximum of 14 days.  We are bound by contract to quote in package format & therefore cost breakdowns will not be given.  All prices are subject to change due to currency fluctuation, fuel price increases & other government levies & taxes.

Provisional bookings will be held for a maximum of 7 days after which a 25% deposit will be required, unless a bigger deposit is required by the properties that are being booked.  In the case of a group reservation of 20 passengers** or more a 50% deposit is required.  The balance of payment will be due 8 weeks prior to travel. **For group bookings the terms may vary according to what is required by the properties being booked.

Certain quotations may contain services based in both USD & ZAR and in such a case rates are subject to exchange rate fluctuation until paid for in full.

PAYMENT:
Payment is via direct bank transfer (EFT / WIRE TRANSFER) and packages are costed based on payment via this method.
If you are booking via a travel agent you & not directly with A 4 AWAY then you are required to make payment to the agent who will then liaise with us.
All SA resident special offers are strictly payable by EFT only as SA resident packages are already severely reduced & our margins are negligible.
Should you pay by physical cash deposit into our account the bank charges are for your account.
If the company accepts payment by Credit Card from an Agent or Client, a 4% surcharge will be added for Visa and Master Cards which are the only cards we accept.

A 4 Away reserves the right to cancel any bookings made should the deposit not be received. We will not hold provisional bookings less than 8 weeks prior to travel. In the event of booking & confirmation taking place less than 8 weeks prior to travel full prepayment will be required.

For SA resident bookings many properties have amended their terms & so we are guided by their terms at this stage for local reservations.

CANCELLATION:
You will be responsible for all cancellation charges, of whatsoever nature, imposed by the suppliers providing the component parts of such travel arrangements. 

A 4 AWAY will charge a cancellation fee equal to 15% of the total package price on any finalised bookings that are cancelled less than 8 weeks prior to arrival. 

COVID-19, other pandemics and extraordinary situations: 

If a booking has to be cancelled due to Covid-19, another pandemic or another extraordinary situation after it has been paid partly or in full, we will do our utmost to either refund you or postpone your trip to a later date. We can only refund what we are paid back from our partners and service providers and this overrules the usual cancellation policies. We are bound by their terms & conditions.

Please note we will charge a 10% admin fee for any cancellations in order to cover our own costs & by confirming your reservation you hereby acknowledge that you accept these terms.

If you are visiting a game lodge or going on a scheduled tour, please note that you may be in a vehicle with other guests. You do have the option to book a private tour or private safari vehicle (at an additional cost). If you decide not to opt for a private option then you accept the risks involved in being in a vehicle with other guests.

AIRFARES:
All airfares (if applicable) are subject to change & fuel increases until paid for in full. A 4 Away cannot be held responsible for any schedule changes made by the airlines or delays incurred as a result of airlines not running according to schedule.

Should you require us to book commercial scheduled flights on your behalf we will do so with pleasure @ a cost of R400.00 per ticket administration fee as we are charged a fee by the travel agent we use.

Please note that smaller aircraft may have a luggage weight restriction & you are advised to adhere to this restriction in order to avoid paying penalties. If air transfers are substituted for road transfers at the last minute due to inclement weather, then no refund is due.

TRAVEL INSURANCE:

All guests are advised to take out comprehensive travel insurance. A 4 Away, including its representatives & employees cannot be held liable for any costs incurred due to, but not limited to, luggage loss/theft/damage, cancellation, medical expenses, covid-19 related changes or isolation costs, emergency evacuation or repatriation. You may be required to provide proof of travel insurance. Travel insurance can be purchased via this website. Please read the travel insurance quotation carefully & if you have any questions, please contact the travel insurance company directly to have your questions answered as we are not legally allowed to give insurance advice.

DOCUMENTATION:

Please ensure that your passport is valid for at least 6 months after your return home & that there are at least 4 blank pages in your passport. Please ensure that your names are spelt correctly on your air tickets & documentation, as per the name on your passport.

Visas are your responsibility.  A 4 Away cannot be held liable for any visas or costs of visas or costs incurred due to the correct visas not held by guests.
 
Similarly, A 4 AWAY cannot be held liable for anyone not adhering to the regulations that govern travel with children in Southern Africa & any costs incurred due to delays or cancellation in travel due to documentation not being correct will be borne by the traveler & not by A 4 AWAY.
 
While South Africa has recently done away with the requirement for foreign children to have unabridged birth certificates with them, countries like Botswana & Namibia (and many other Southern African countries) do still require children under 18 to travel with original unabridged birth certificates.
 
These rules are constantly changing and it is your responsibility to ensure that you have the correct documents required, if in doubt please contact the relevant consulates in your country of residence. The onus falls on you to ensure that your documentation is correct.
 
Our advice would be to always travel with an unabridged birth certificate for any children under 18.

MALARIA:
Parts of Southern Africa are malaria areas; please consult with your doctor or pharmacist with regards to the need for malaria prophylactics.

POPI (Protection of Personal Information Act):

Any personal information that you send to A 4 AWAY will only be used for the purpose intended & to enhance your experience during your travels with us. We will not disclose your personal information to any party which does not require it for the purposes of your reservation.

If you are required to send us any ID or passport copies then please do so via a password protected document.

By confirming a reservation with us & signing this document you confirm that you accept the above.

OTHER:
Certain game lodges / properties may have age restrictions for children.

A 4 Away acts as an agent & we do not accept liability in respect of any loss, damage, injury, illness, covid-19 isolation / quarantine costs, death, delay or inconvenience to any person or their property.
